👥 Delegates: Nomination
Please confirm the names of your nominated delegates via email to Ann Verheyen at ann.verheyen@europeangreens.eu by 28 October at the latest. Although the deadline is 28 October, we strongly encourage you to nominate your delegates as soon as possible.
🗳️ Delegates: Financial coverage
Between 2 and 6 delegates per member party are eligible for reimbursement of travel and accommodation expenses. To confirm how many delegates from your party are eligible for reimbursement, please consult this document.
Please note that the reimbursement is provided by EGP only if the delegation is gender-balanced, meaning that at the minimum half of the delegates are non-male.
❗ Change of approach: reimbursements instead of direct bookings ❗
Please note that, from this Congress onwards, the EGP will no longer directly book travel or accommodation for delegates from member parties. In the past, the EGP office arranged travel and accommodation for some eligible delegates. This approach is now changing: all eligible delegates are expected to book their own travel and accommodation, and the EGP will reimburse the eligible costs afterwards, in line with the reimbursement rules, limits and deadlines set out below. We kindly ask member parties and delegates to take this into account when planning their participation.
Reimbursement rules for delegates
Arrival: Thursday, 10 December
Departure: Sunday, 13 December
- Nominated delegates are encouraged to book their travel as soon as possible, and at the latest six weeks before the travel date. After this deadline, full reimbursement cannot be guaranteed, unless otherwise agreed with the EGP office.
- Travel costs will be reimbursed for standard, economy or second-class tickets only, up to a maximum of €350 for a return journey, upon presentation of the original tickets and receipts. Please make sure to keep all relevant documents, including boarding passes; PDFs and e-tickets are accepted. We strongly encourage you to choose the most economical and environmentally friendly travel option available.
- Accommodation will be reimbursed for a maximum of three nights. Based on the accommodation invoice, EGP will reimburse up to €80 per person, per night. Group accommodation, such as delegates sharing an apartment, is reimbursable if the invoice clearly states the total price, number of nights and number of people covered. Each eligible delegate will be reimbursed for their share, up to €80 per person, per night.
- Exceptions:
Any stay beyond three nights, or exceptions due to travel connections, must receive prior written approval from the EGP office before purchase.
Nominated delegates will receive a detailed email with additional information shortly after their nomination.

🛂 Visas
Third-country nationals may require a short-stay Schengen visa (Type C) to enter and stay in Poland for up to 90 days.
The following citizens are exempt from that obligation:
- EU/EEA & Swiss Citizens: Citizens of European Union (EU) countries, the broader European Economic Area (EEA), and Switzerland.
- Visa-Exempt Nationalities: Citizens of specific non-EU countries that have visa-free agreements with the Schengen Area (e.g., UK, Serbia, Ukraine, Albania, Moldova). More information.
- Residence Permit Holders: Foreigners holding a valid residence permit or a valid Type D national visa issued by another Schengen Area country.
Checking whether you require a visa and following all the necessary steps is solely your responsibility. We cannot guarantee you will obtain a visa; we can only support you in the process.

Below are some accommodation suggestions that may help you explore options in Warsaw. Please note that the EGP has no agreement with any of these hotels. The list is based solely on desk research by the EGP team, and delegates remain responsible for choosing and booking their own accommodation.

In Warsaw city centre, there are many private accommodation options and other non-hotel places to stay. We recommend using Booking.com or Google Hotel for the best overview.
🗺️ Getting to Warsaw
If you buy tickets via Jakdojade app, you need to validate it inside of the vehicle. Look for QR codes to scan your ticket with.
By Plane ✈️
Warsaw has two airports: Warsaw Chopin Airport (8 km away from the city centre) and Warsaw Modlin Airport (40 km away from the city centre).
A) Chopin Airport
Train
There is a train station located beneath the airport terminal. The S2 and S3 suburban rail lines, as well as the KM (RL) train, provide connections to Warsaw city centre.
If you take the S2 or S3 line, travel to Warszawa Śródmieście [var-SHAH-vah shroud-MYESH-che]. Tickets can be purchased from ticket machines at the station, on board the train, or via the Jakdojade app. Purchase a Zone 1 ticket valid for 75 minutes, which costs 4.40 PLN (approximately 1.05 EUR).
If you take the RL train, travel to Warszawa Centralna [var-SHAH-vah tsen-TRAHL-nah]. Tickets can be purchased online via Mazowieckie.com.pl, one costs 7.80 PLN (~1.85 EUR).
Warszawa Śródmieście and Warszawa Centralna are essentially located in the same spot.
Bus
The bus stop is just a few steps from the airport exit, behind the taxi rank.
Take bus 175 to the stop Centrum 15 (pronounced “SEN-trum”). You can buy a ticket from the vending machine at the stop or via Jakdojade app. Purchase a Zone 1 ticket valid for 75 minutes, which costs 4.40 PLN (approximately 1.05 EUR).
Taxi / Ride apps
A taxi or Uber/Bolt ride from the airport to the city centre takes around 20-25 minutes.
B) Modlin Airport
Train
You can take a train (ZL) to Modlin, and then a train (RL) to Warszawa Centralna [VAR-shah-vah tsen-TRAHL-nah]. Tickets can be purchased at stations or online via Mazowieckie.com.pl. The price is around 23 PLN (~5.40 EUR).
Bus
You can take a Flixbus from the airport to either Warszawa Zachodnia station [vahr-SHAH-vah zah-HAWD-nee-ah] and then a train to Warszawa Centralna [var-SHAH-vah tsen-TRAHL-nah] or to Metro Młociny [mwo-TSEE-nih] and then take a metro M1 to Centrum [SEN-trum].
For schedules, please refer to the FlixBus website. Train tickets can be purchased at stations or online, and metro tickets via station machines or the Jakdojade app.
Taxi / Ride apps
A taxi or Uber/Bolt ride from the airport to the city centre takes around 60 minutes.
By Train 🚆
For those travelling to Poland by train, you will most likely arrive at Warszawa Centralna [var-SHAH-vah tsen-TRAHL-nah] or Warszawa Zachodnia [vahr-SHAH-vah zah-HAWD-nee-ah].
From Warszawa Zachodnia, you can take numerous trains or buses to Warszawa Centralna. We advise consulting Google Maps or Jakdojade app to find the most convenient conection.
By Bus 🚌
Long-distance buses (FlixBus, Sindbad, Luxexpress, etc.) arrive either in the city centre or at one of the transit points in Warsaw. If you are not arriving in the city centre, we advise consulting Google Maps or Jakdojade app to find the most convenient connection.
🗺️ How to navigate Warsaw?
Public transportation in Warsaw is reliable and convenient. You can use Google Maps or Jakdojade app to comfortably move around the city.
Important: If you are entitled to discounted public transport fares in your home country (e.g. as a student, person with a disability, senior citizen, or under another concession scheme), your foreign ID or entitlement card may not be recognised in Poland. In particular, foreign students are generally required to present a valid ISIC card to qualify for student discounts. Other concessionary fares may require documentation specifically recognised by Polish transport operators. If you travel with a discounted ticket and cannot provide the required proof during an inspection, you may be charged the full fare and could receive a fine. Always verify the requirements with the relevant transport operator.
Metro 🚇
It is the fastest option for moving around Warsaw's landmarks. There are two lines: M1 and M2.
Tickets are available in machines at the stations. You can also use Jakdojade app.
- 20-Minute Ticket: 3.40 PLN (~0.85 EUR)
- 75-Minute Ticket: 4.40 PLN (~1.10 EUR)
- 90-Minute Ticket: 7.00 PLN (~1.75 EUR)
Buses & Trams 🚌 🚋
Extensive bus and tram network fills in gaps where the metro does not reach. Tickets can be bought at some stops, in some of the vehicles or via the Jakdojade app.
- 20 minute ticket – 3,40 PLN (~0.85 EUR)
- 75-minute ticket – 4.40 PLN (~1.10 EUR)
- One-day ticket (valid for 24 hours from the moment of validating the ticket) – standard: 15.00 PLN (~3.54 EUR)
- Three-day ticket – standard: 36.00 PLN (~8.50 EUR)
Trains 🚆
Central station of Warsaw links to suburban, national, and international trains. Tickets purchasing site depends on the connection. You can consult PolishTrains.eu for most routes.
Taxis & Ride-apps 🚖
Taxis are widely available. Apps such as Uber, Bolt, and Free Now operate across the city.
Walking & Cycling 🚶♀️🚴
Central Warsaw is generally walkable, but the distances at times can be challenging. There are around 300 stations of Warsaw's sharable bike Veturilo.
