About the position
Director of Internal Organization and Personnel (DIOP) is responsible for day-to-day functioning of the organization, under direct supervision of Secretary General and in coordination with Director of Finance, Compliance and Administration. They are responsible for overall strategy, management and distribution of human resources across organization, monthly payroll, creation and implementation of processes and procedures for smooth running of the organization (e.g. work regulation, internal guidelines, etc.), organization of office meetings, and coordination and preparation of management meetings (directors and heads of units). They are a go-to contact for HR issues for the staff and support for heads of units in their leadership roles and implementation of the activity plan.
DIOP works closely with HR assistant, who is under their direct supervision, and with the Director of Finance, Compliance and Administration and the team in Administration Unit, in particular office assistant and accountant and with the whole Management team.

Tasks and responsibilities

DIOP is responsible for organisational and human resource management of the European Green Party. They are supervised by Secretary General and they report to EGP Committee on staff and HR issues, as needed.

DIOP is responsible together with Secretary General for the implementation of Activity Plan, creating yearly calendar of the activities and of monitoring of workload and work dynamic throughout the year. They manage daily functioning of EGP by overseeing operations across organization and organizing the workflows within the EGP office, in close cooperation with and support of Heads of Units.

DIOP is responsible for organizational compliance with EGP Statutes, and support for proper delivery of statutory obligations, including all Statutory events.

DIOP supports Secretary General in facilitating the work of the Committee, including preparation, execution and follow up from Committee meetings,. They work closely with and coordinate inputs from Secretary General advisor, Directors and Heads of Units.

DIOP supports Secretary General in building and maintaining organizational structure that is effective and flexible, with long-term view and proactive approach.

DIOP is responsible for management of human resources from A-Z; including establishing and managing HR processes such as, and not limited to, recruitment, onboarding, offboarding, appraisals, payroll, etc. They are a first point of contact for staff on HR issues.

DIOP is responsible for creating and maintaining efficient, orderly, and healthy working environment, conditions and internal procedures in the office. To achieve this goal, they work as appropriate with Secretary General and Staff Representatives, who constitute together Staff Council.

DIOP supports Secretary General in facilitating and coordinating the work of Heads of Units to ensure transversality of their work and relations, and to achieve high performance and realization of strategic goals. DIOP is the first point of contact for Heads of Units for HR and supports them in their managerial role.

DIOP is responsible for planning, preparation and execution of office and management meetings, retreats, team buildings, and developing yearly training plan for the whole office. DIOP supports heads of units in planning their unit retreats and trainings, and overseeing staff individual training requests.

DIOP is responsible for organizational learning and development, retention and transfer of knowledge and information.

Take additional tasks, whenever appropriate, in the interest of the service.
Requirements

At least 7 years of previous professional experience in the field of human resources (preferably in Belgium), team managerial positions and / or roles related to organizational development

Good leadership and organizational skills, including time and priority management
-
Excellent people skills, ability to work independently and in multi-cultural teams, and coordinate organization of complex workflows and processes with other Management members
-
Experience in project management and organisational ability to coordinate multiple processes and projects, often on tight deadlines
-
Proactive with problem-solving attitude; comfortable to take initiative, ownership of, responsibility and accountability for the tasks.

Good computer skills and digital literacy

Languages: proficiency in the English language (working language of the organisation), a very good knowledge of French or Dutch
Assets

Knowledge of the EGP and its functioning or knowledge of similar Brussels-based umbrella organisations

Previous work experience in and / or good understanding of EU politics, Green policy issues, and the European Green political family in general

Understanding and adhering to Green values such as ecology, feminism, anti-racism and social justice

Knowledge of additional European languages.
Our offer

A full time (37 hours / week) contract of unlimited duration with flexible working hours. Please note that occasional work-trips abroad and, in urgent cases, unsocial working hours may be required.

Starting salary range for grade 6 ‘Directors’, depending on the prior experience, for 37h/week is: 6096 – 6613 EUR gross / month
Work location
The work is mainly located at the European Green Party headquarters: Rue du Taciturne 34, 1000, Brussels, Belgium; with occasional travel, both in Belgium and abroad.
